Release notes for Ipswitch Workgroup Share Version 2.0.0 Ipswitch, Inc. In This File • Description WorkgroupShare incorporates the capability to share Outlook data, such as calendars, tasks, contacts, distribution lists, notes, and email among ICS users. In addition to sharing users’ personal folders with other users, WorkgroupShare lets you define public shared folders such as shared contact lists and holiday calendars with other users. • Users can now administer access that other users have to their folders from within Outlook. • WorkroupShare client setup now only needs to be run once on each client computer. Then, when each computer user logs into Outlook for any profile, a wizard will be displayed once, asking the user if they want to synchronize the information in this profile with WorkgroupShare and if so, the user can synchronize. This simplifies setup for a client and also facilitates the use of multiple users and profiles per computer and also roaming profiles. • Custom fields and custom forms are now supported. Custom field support has been added to contacts, appointments, and tasks. Provided a custom form is installed on the client computer, WorkgroupShare will now successfully use the appropriate custom form for the appropriate record. • Clients can now change their connection login password and the server details from the WorkgroupShare Settings property sheet in Outlook. • WorkgroupShare now works with multiple profiles on a computer. This means that any number of users can log into a computer and each user can have any number of profiles synchronizing with the WorkgroupShare server. Note that each profile can synchronize as any WorkgroupShare user seamlessly. This means that you can have different profiles for different WorkgroupShare users under the same computer user account. Because of this major enhancement, WorkgroupShare now supports shared and roaming profiles also. Shared profiles are where an Outlook .PST file is shared by more than one profile (possibly on different computers). A roaming profile is where the same profile is used when a user logs into different computers. • Users and access levels can now be exported to a Comma Separated Value (CSV) file for processing by external applications. • Client setup now sets up the WorkgroupShare client for all users on the computer. For this reason, client setup no longer asks the WorkgroupShare user to synchronize and the folders to synchronize. When each user runs Outlook, if the profile in use has not synchronized before, the user is asked if he or she would like to synchronize with WorkgroupShare. If so, the user and the folders are synchronized. • WorkgroupShare server and clients can now communicate securely using the Secure Sockets Layer (SSL). The server can be set to accept only non-secure connections, only secure connections, or both. • It is now possible to roll out WorkgroupShare to all the users in the active directory from one single computer. Using the Remote Install/Uninstall utility, it is now possible to select the computers onto which the WorkgroupShare client will be installed and press a button to proceed with the remote installation. The utility can also be used to uninstall from selected computers and to update new versions of the software. The Remote Install/Uninstall utility is available by selecting File > Remote Client Setup from within the administrator program. • WorkgroupShare now lets you synchronize email folders. This includes email attachments. Due to the potential size of email attachments, it is possible to optionally prevent attachments from being synchronized. This is a server option, available in the Advanced page of the Settings property sheet, in the WorkgroupShare administrator program. WorkgroupShare v2.0.0 • Corrected defect causing "failed to access database" error on Japanese OS. • Added seconds to the transaction time in the log files. • Contact followup flags are now synchronized. • WorkgroupShare now stores a reference to a message file in the database rather than storing a reference in the MIME of the message for the JET database. • When the WGS client is uninstalled, the database GUID is now removed from the .PST file so that the Incompatible Database error is not shown when the client is reinstalled. • Messages in mail folders now show senders' names rather than the local users' names. • If a client is unable to contact the WorkgroupShare server and the server connection box appears, clicking Cancel will now clear the error until the next sync occurs. WorkgroupShare v2.0 • The administrator now remembers the state of the "User Active Directory authentication" option in the user details page of the user property sheet without having to restart the administrator. • The free busy server now converts times from the database time zone into Universal Coordinated Time (UCT). • The user's email address is now checked for validity when entered in the user details page of the user property sheet. • When a client adds two folders with the same name and different parents before a synchronization, these are now synchronized properly with the WorkgroupShare server. • Sub-folders added in the WorkgroupShare administrator are now added correctly to the appropriate clients. They are no longer added to the top level. • When the server is not available at the last address that was used to connect to it, the WorkgroupShare add-in now tries to contact the server on other addresses. These other addresses are obtained by client setup from the server and from previously tried server addresses. The effect of this is that when a computer, such as a laptop, moves from one network to another (say from the office LAN to a wireless network) the server should be found without prompting the user. • WorkgroupShare add-in no longer crashes if an unreadable item is encountered. An example of an unreadable item is an appointment with a start time after the end time. • WorkgroupShare add-in now has a different task tray icon when it is connecting to the server, before it starts synchronizing. This allows the user to see if a connection to the server has been made yet. • All recurring appointment fields are now synchronized. • Images attached to notes are now synchronized. • When a folder is unshared by a client, it no longer reappears on the same client unexpectedly at a later time. • Recurring appointment exceptions now synchronize all fields properly. • When a user's name changes, the login name of that user remains unchanged so that the appropriate client(s) do not need to change their login details. • The CustomData table in the WorkgroupShare database now has more indexes, which will speed up access to it. • When a contact folder is unshared from a client, the address book entry for that folder is now removed from the address book. • WorkgroupShare now stores the FileAs field properly for contacts. • Categories fields are now synchronized properly for all data types. • WorkgroupShare add-in now starts properly and synchronizes regulary even if ActiveSync was running before Outlook was started. • Appointment reminders are now synchronized properly between Outlook clients. • The free/busy server no longer indicates that a user is free when they have not published any calendar folders. Instead, it indicates that no information is available for the user. • Distribution lists now synchronize international characters correctly. • There is now a registry setting on the client (HKEY_LOCAL_MACHINE\SOFTWARE\Softalk\WorkgroupShareClient\Advanced\loadSleepTime) which allows the user to control the amount of CPU time taken by the WorkgroupShare add-in when synchronizing large .PST files. The default value for this is 5 milliseconds which yields a 50% CPU value for large synchronizations. Setting this value to zero will yield close to 100% for the synchronizations, which will double the speed of the synchronization but make Outlook and the rest of the computer less responsive while the synchronization is happening. Setting the value to 100 will yield a 100% CPU. • The IM Address is now synchronized properly for contact records. • The diagnostics wizard in the WorkgroupShare Administrator no longer crashes when the Next button is pressed while the diagnostics are in progress. • The WorkgroupShare administrator no longer crashes when a folder is being edited that is deleted because of a synchronization. • There is now a Start > Programs > WorkgroupShare > Uninstall WorkgroupShare menu entry. • The speed of showing the active directory synchronization wizard has now been improved. • A user's account details are now shown in the user's summary page, allowing easier administration of user accounts. • When a client tries to share a folder to the server, and the folder has the same name as one already there, the server was giving a "failed to add" error that was then subsequently ignored by the client. If the client then tries to select that folder, the server then issues a "failed to read record". This problem could happen when two computers use the same WorkgroupShare username to log in. This has now been resolved. • The Active directory synchronization wizard has been improved so that it can now read users and groups from multiple domains across the network. The enhanced Active Directory synchronization wizard now organizes users and groups under their relevant domains, making it much simpler to choose the users and groups that you wish to add or remove from WorkgroupShare. • When a user is synchronizing two Outlooks with the same WorkgroupShare user account, any folders that are added on one Outlook are now correctly received and marked for sharing by the other Outlook. • Users are now warned when trying to install the WorkgroupShare Outlook add-in on a version of Outlook prior to Outlook 2000. • Client setup no longer causes a synchronization to start if the WorkgroupShare Outlook add-in is already installed. • The synchronization icon is now always shown when the setting indicates that it should be. It indicates when it is connecting to the server and when it has connected. It also flashes from solid to transparent so it is always visible while a synchronization is occurring, rather than flashing on and off as in version 1. • When the DELETEFOLDER command is issued by the client and the folder has already been deleted on the server, the server now issues a success response so that the client does not repeatedly attempt to delete the folder. • Contact birthdays and anniversaries are now synchronized from the client to the server but not from the server to other clients. This is because Outlook automatically adds birthday and anniversary appointments for these contacts which is undesirable on other clients. • When contacts are deleted on the server in response to a request by the client, the email and phone records associated with that contact are now correctly deleted. • Client uninstall can now be used to uninstall more than one user on a computer. When all users have been uninstalled on a client computer, the program files are deleted by the client uninstall, only if the logged in user is a power user. • When a folder is added to the administrator automatically after a synchronization, this folder can now be edited properly and access to it can be granted without requiring a restart of the administrator. • WorkgroupShare add-in in Outlook 2002 SP3 no longer pops up a message box every time the IM address is read/written for a user. • When the access level to a folder changes for a user, it is now picked up immediately by the server so the add-in gets the correct access level. • Version 2 now encrypts the user password associated with a WorkgroupShare user account. • Client setup now gives the user a chance to change the server address and/or port when the server cannot be contacted if client setup is run from the ClientSetup folder. • Client setup now backs up all .PST files that are used by Outlook. • Client setup now sets up the Outlook free/busy server if it is not already setup. • The WorkgroupShare installation is included as part of the ICS installation. Refer to the ICS release notes for more information. • If you are upgrading from ICS 2006 Standard to ICS 2006 Premium or if you did not install WorkgroupShare when you originally installed ICS 2006 Premium, a backup of the WorkgroupShare.mdb file (located in C:\Program Files\Ipswitch\Collaboration Suite) is saved and renamed WorkgroupShare.old.mdb in C:\Program Files\Ipswitch\Collaboration Suite\WorkgroupShare\Data. To save your existing contacts used in Ipswitch Web Messaging or Microsoft Outlook, after you install WorkgroupShare, import the contact data saved in the C:\Program Files\Ipswitch\Collaboration Suite\WorkgroupShare\Data\WorkgroupShare.old.mdb file into the WorkgroupShare.mdb file located in C:\Program Files\Ipswitch\Collaboration Suite\WorkgroupShare\Data. WorkgroupShare is included as part of the ICS installation. You must remove ICS to remove WorkgroupShare. 1. Open the Add/Remove Programs applet in the Windows Control Panel. 2. Select the ICS Edition you want to uninstall. Note: Removing IMail Server using the Add/Remove Programs applet does not delete the IMail directory or the subdirectories and files it contains.
